Configuring Mail Routing Rules for Selected Users of a Domain Hosted on G Suite


Greetings from Mithi! Welcome to a series
of self learning videos and understanding and using Vaultastic – The
easiest and the most secured email archiving solution yet. This video
explains the steps required to configure a mail routing rule, to archived mail
transacted by selected users of your domain hosted on G Suite. Before
configuring rules, make sure that you have provisioned all the users on the
corresponding Vaultastic domain. If a user is not present on Vaultastic, email
messages sent to or received from that user will not be archived on Vaultastic
domain. Also make sure that you have configured a SMTP route to G-Suite to
route mail to Vaultastic. To archive mail transacted by all the users of your
domain, you need to configure mail routing rules which will forward mail
from the primary email server Vaultastic. Configure a sending routing rule
to deliver outbound and internal sending delivery to Vaultastic and a receiving
routing rule to deliver inbound and internal receiving delivery to Vaultastic. First let’s configure a sending mail routing rule. Sign-in to the Google
admin console. From the dashboard, go to apps, select
g-suit and then click the Gmail option to view all the settings related to
Gmail. Scroll down and select the advanced settings option in the advanced
settings page. Go to the sending route section. Hover the mouse over the sending routing row. If the setting status is not configured yet, click configure to create
the rule and if the setting status is locally applied or inherited, click Add
Another to add new rule. This opens a Add Setting Window. Here, give a name to the
sending routing rule. Select outbound and internal sending messages to archive.
Scroll down to the Also Delivered to section and select the add more
recipient box. This will deliver a copy of each mail received by the user to his
or her respective archive account on Vaultastic. Click the Add button to
specify a recipient on Vaultastic. Choose the advanced option from the list.
Select the change route box and choose the Vaultastic mail route defined from
the list. Refer to the video – How to create SMTP route for Vaultastic on the
Youtube channel – Vaultastic. Select the ‘Add eggs GM original to Header’ box. Save
the recipient details. Scroll down to the options section. Choose to execute the
Setting only if the envelope sender matches to the specific user. Specify the user
name in the format – [email protected] primary dash domain com. Either repeat these steps to create
sending rooting rule, for all the users for whom you need to enable archiving or
specify IDs of all the users for whom you need to enable archiving in the
format. Add the journal rule setting. Do not forget to save the rule configured
for your domain. Now let’s configure a receiving routing rule from the advanced
settings for the Gmail page. On the advanced settings page, scroll down to
the receiving routing section. Hover the mouse over the receiving routing
row. If the setting status is not configured yet, click configure to create
a rule if the setting status is locally applied or inherited, click add another
to add a new rule. Give a name to the receiving routing rule. Select inbound
and internal receiving messages to archive. Scroll down to the Also
Delivered To section and select the add more recipient box.This delivers a copy
of each mail received by the user to his or her respective archive account on
Vaultastic. Click the Add button to specify the recipient on Vaultastic.
Choose the advanced option from the list. Select the change route box and select
Vaultastic mail route defined from the list. Select the Add X GM Original to
Header box. Save recipient details. Scroll down to the options section. Choose to
execute this setting only if the envelope recipient matches the specific user
specify the user name in the format. Either repeat these steps to create
sending rooting rule for all the users, for whom you need to enable archiving, or
specify IDs of all the users, for whom you need to enable archiving in the
format. Add the journal rule set in. Do not forget to save the rule configured
for your domain on G Suite. With this simple configuration you can archive
email transacted by all the users of your G Suite domain to Vaultastic. Thank
